Version 2026-10-22.draft-3

An empty, sunlit corridor and seating area inside a care facility.

Not Approved · Not Binding

This page is a draft. It has not been approved by Simple Medical Workforce Solutions or its legal counsel, it is not in effect, and it is not a binding agreement or policy. It describes this application and its protected preview. The preview is a demonstration that uses sample data only; it is not a public launch. Nothing on this page asks you to accept anything.

What this statement covers

This draft describes the Simple Medical Workforce Solutions application: the quick application, the invited full application, named accounts and the staff workspace. It also describes the protected preview, a demonstration copy of the same application that reviewers use with sample data. Where the two behave differently, this draft says so.

It is not the privacy statement for the public Simple Medical Workforce Solutions brochure website.

For client and counsel review: the legal name of the business this statement would come from, and who operates the application on its behalf.

In the preview, use sample information only

In the preview, enter only made-up names, email addresses, phone numbers and credential details. Do not enter real personal, patient, credential, identification or financial information. The preview does not stop real information from being typed, so please do not enter any.

What the application stores when you use it

  • Quick application: first and last name, email address, phone number, the role you choose, and the contact consent checkbox.
  • Invited full application: the answers on that form, including contact details, city and state, work authorization and age answers, experience, shift preference, credential type, number and expiration, a professional reference's name and phone number, and the attestation checkbox. These questions are placeholders, not the final application.
  • Named accounts: display name, email address, phone number, an optional profile photo (described below), and the sign-in sessions, passkeys and second sign-in step the account sets up.

All of this is kept in the application's database. Resume and document upload is not available.

Profile photos

A named account can add one profile photo. It is optional, and no application form asks for one. The application accepts a PNG, JPEG or WebP image up to 2 MB and keeps it in its database.

The photo is shown with your name to people signed in to the same Simple Medical Workforce Solutions workspace. It is not shown to anyone who is not signed in. In the preview, a reviewer's photo is shown to that reviewer only.

You can replace or remove your photo at any time in your account settings. The activity history notes each new photo, with its file type and size, and each removal, but never the image.

For client and counsel review: how long a removed photo may remain in backups, once backups are set up.

Records the application creates automatically

  • An activity history for each application, which includes the email address entered.
  • A record of each consent or attestation checkbox you tick: the version of its wording, the versions of the Terms and Conditions and this Privacy Statement it names, and the time the application received it.
  • A copy of each message the application sends or would send, including invitation links.
  • When the preview is hosted, the reviewer gate records sign-in events with the reviewer's name and a scrambled, keyed form of the network address instead of the address itself.

Cookies

The application uses these cookies. It uses no advertising or analytics cookies.

smws-staging-gate
Keeps a reviewer signed in to the reviewer gate when the preview is hosted.
smsp-demo-role
In the preview only, remembers which demo staff view you chose. It is a role switch, not a sign-in.
smsp-demo-professional
In the preview only, remembers which demo professional you chose in the professional portal.
smws-account
Keeps a named account signed in.
smws-identity-flow
While you sign in with Google or Apple (up to ten minutes), ties that sign-in to this browser. It is removed when the sign-in finishes.
smws-theme-device
Remembers the display theme chosen on this device.

Email and text messages

Outside the preview, the application sends email about your application to the address you give, for example a receipt when you apply, a private link if a recruiter invites you to the full application, and an update when a decision is made. It also sends sign-in links and verification codes to named accounts, and an email to Simple Medical Workforce Solutions staff when an application arrives. It does not send text messages.

The preview does not send email or text messages. Messages it would send are kept in the in-app demo outbox instead.

For client and counsel review: whether to name the email delivery service, and what that service itself records.

Who can see application data

Outside the preview, submitted applications are shown in the staff workspace to signed-in Simple Medical Workforce Solutions staff accounts with a recruiting or administrator role. Copies of the messages about them are shown to staff accounts with a recruiting, scheduling or administrator role.

The preview works differently. Anyone who passes the reviewer gate can open the demo staff views, which show submitted sample applications and the demo outbox. Treat anything you enter there as visible to every reviewer.

For client and counsel review: whether and with whom any application data is shared outside Simple Medical Workforce Solutions, for example with a facility where you are placed.

What the application does not do

  • It does not accept resume or document uploads on the application forms. The only file it accepts is the optional profile photo described above.
  • Its code loads no advertising or analytics trackers.
  • It does not send text messages.
  • When the preview is hosted behind the reviewer gate, it asks search engines not to index its pages.

Hosting

When hosted, the preview runs in a cloud account owned by the client, behind the reviewer gate.

For client and counsel review: where the application itself will be hosted, whether to name the hosting provider and region, and what the provider itself records.

Keeping and deleting data

No retention period has been set for preview data. The preview database can be reset, which removes its sample data. No retention period has been set for application or account data either.

For client and counsel review: how long application and account data is kept, who may delete it, how a request to see, correct or remove your information is handled, and any privacy rights that apply.

Security

This draft makes no security or encryption statement.

For client and counsel review: whether a security statement is needed, and what it may accurately say.

Changes and questions

This draft may change before any version is approved. It has no effective date. Each version has its own number, shown at the top of this page, and an application records the version its consent wording named.

For questions about this statement or about your information, use the contact details on the Support page.

For client and counsel review: who answers privacy questions and requests, and how they can be reached.

End of draft. Not approved and not binding.
